Instructions
Welcome to Lightbulb Invigilation
We offer high quality examination invigilation (supervision) service in a purpose built facility at the Gold Coast Institute of TAFE Southport campus.
Please note:
All invigilation is conducted at 9am or 2pm (6pm by arrangement only) local time, Monday to Friday to meet each Universities requirement. One-on-one invigilation is available on request.
At the Exam
Your exam commences sharply at 9am, 2pm or 6pm. Entry into the exam room is usually about 10 minutes prior to starting time. Therefore, you need to arrive for your exam no later than 20 minutes before the start time. To gain entry into an exam, you must have a photo ID (driver’s licence/passport)
Late arrivals: Consistent with University exam policies, students arriving at an exam more than 30 minutes after exam commencement time will not be admitted into the exam room. Note, no additional (make-up) time is allowed for late arrivals.

Breaching exam conditions
Note: you may be in breach of exam conditions set by your university if, immediately before and/or during an exam you:
have in your possession and/or use unauthorised materials (including text or notations or other markings in books and other resources you bring into an exam)
talk or otherwise communicate with other students in an exam room, or with persons outside an exam room during an exam
write or make notes before writing time has been announced by an invigilator or after the invigilator announces the end of writing time
engage in conduct inappropriate for exam conditions
Breaches of exam conditions will be reported in accordance with University exam policy.

What to bring to the exam
Your institution ID card (if you have one) OR an approved Photo ID (a driver’s licence or passport)
Writing implements (pens, pencils, eraser, ruler)
Approved calculator if required
Any allowed materials such as text books and notes. Please observe that in some exams, you may not be allowed to have marked texts, and markings must be removed before the exam. Invigilators will check all allowable materials, and will ask you to remove all markings if required, or confiscate materials in accordance with university policy. We are required to report any breaches to the University.
You may bring a clear water bottle, with the label removed

NOTE: Mobile phones and any other electronic communications devices are prohibited from exams. If you forget to bring a calculator, you will not be permitted to use a mobile phone instead under any circumstances. Nor can you borrow a calculator from another student.
SPECIAL NEEDS: If your university has approved a special need, they will have advised us. Please identify yourself to an invigilator on your arrival before the exam.

Invigilators
What they will do
Follow the requirements of each university and will check that you are the person enrolled in the unit and booked to sit the exam
Check photo ID and all allowed materials including correct texts and any annotations, notes, dictionaries, and calculators. They are required to remove any materials not permitted for your exam.
Required to ensure exam conduct conforms to University procedures and guidelines.
Invigilators are required to inform universities of any conduct that does not conform to university procedures and guidelines. This includes talking or any other communication between students during an exam time.
What they will not do
Are not permitted to offer advice or interpret the content of any exam.
Failing to show for an exam
If you fail to show for an exam, you cannot sit at another time or day, and your exam invigilation fee is forfeited unless we are notified 48 hours prior to your exam.
Alternative arrangements to re sit exams must be done directly with your university.

Cancellations/ Refunds
Cancelling a booking and seeking a refund
If you are unable to sit an exam, you should contact your university. You should also cancel a pending or confirmed booking with Lightbulb Community Education. Note that invigilation fees are not transferable to other exam bookings. If you wish to cancel a confirmed booking, you may apply on-line for a refund of your payment (less $20 administration fee per exam), subject to the following:
A part refund will be made provided that you advise us yourself, by cancelling the exam booking on-line at least 48 hours prior to the exam.
Exams booked in error, will also be liable for the $20 administration fee.
No refund is available if you cancel within 48 hours of an exam commencement time.
How to apply
To cancel an exam booking and apply for a refund first you need to advise Lightbulb Community Education on 07 5581 8316 or email marisa.garcia@lightbulb.edu.au
If you paid by credit card, we will only refund the balance of your payment to the same credit card you used to book the exam.
If you paid by money order or cheque, we will process the refund which will take approximately 10 days.
To book your exam:
Download the Invigilator Nomination form from your University
Fill out your details – especially the exam code, date and time.
Fax, email or post your forms to us, See our contact page for details. Please be sure to indicate which time session you will be sitting the exam.
We will complete our details and either fax your application through to your University, or forward your form back to you for submission as appropriate.
Several weeks before your exam is due you should receive a confirmation from your University with the details of your exam date and time.
In the two weeks prior to your exam, check this website for details as to where your exam will be held. Exam Rooms do occasionally change it is best to re-check the information the day before your exam is due.
Note that exam starting times listed on this website are correct. If you have a letter from your University stating something different then the starting time listed here will be the time the exam starts. Contact us if you have any queries.
Make sure that your nomination form is with us at least two days before it is due. This is to allow us time to process it and return it to your University by the due date.
